Experience, Education, Skills and Knowledge:

* Proficient knowledge of mechanical, electrical and hydraulic systems used in the repair of agricultural and turf equipment.
* Ability to use Service Advisor and basic computer functions.
* Ability to operate vehicles and equipment used for diagnostic purposes.
* Proficient oral and written communication skills.
* Ability to lift at least 75 lbs. repeatedly.
* Basic Service Technician certification preferred.
* High School Diploma or equivalent experience required.
* Valid VA driver's license is required.

The Service Writer position will report to the Service Manager and support the service department in meeting customer needs through initiating equipment services and repairs by determining performance problems and services requested, verifying warranty and service contract coverage, developing estimates, writing repair orders, maintaining customer rapport and records. Administrative tasks such as answering incoming phone calls, end of day reports and cash handling will also be part the job responsibilities. Employees will receive on-the-job training as well as other trainings through John Deere University (JDU).
Essential Functions:
- Fields internal and external customer inquiries to the Service Department
- Opens work orders as directed by the Service Manager and maintains control until they are closed and invoiced
- Updates customer profiles using equipment, hours, or other information from the customer work orders
- May process warranty and/or product improvement claims including the computation of charges, submission and follow-up
- Determines equipment problems and services by listening to customer's description of symptoms; clarifying description of problems; conducting inspections; taking test drives; checking equipment maintenance records; examining service schedules.
- Verifies warranty, PowerGard, service contract and/or maintenance plan coverage by examining records and papers; explaining provisions and exclusions.
- Develops estimates by costing materials, supplies, and labor; calculating customer's payment, including deductibles.
- Prepares detailed repair orders by describing symptoms, problems, and causes discovered, as well as repairs and services required; obtaining approval signatures; entering RO into service database system.
- Maintains customer rapport by explaining estimates and expected return of equipment; obtaining customer's approval of estimates; obtaining and providing contact telephone numbers; answering questions and concerns; arranging hauling.
- Ability to make cold calls to customers during the winter months to promote service specials
- Administrative tasks include answering incoming customer calls, completing end of day reports for cash, credit and check payments, and general office duties

Qualifications:
- MUST be computer savvy with the ability to type
- MUST be proficient in MS Office Suite and internet applications

- Previous experience as a service writer preferred
- Friendly attitude with a focus on customer satisfaction

The Service Writer at Mason Tractor has several responsibilities. They are responsible for writing down all the needed information to complete a work order, including a detailed description of what is happening with the piece of equipment that is going through the service shop. The Service Writer is also responsible for closing out all work orders at the end of the month. There are no exceptions to this. If a unit still needs additional work, the previous monthâs work order still needs to be closed out, and a new one with the same number can be made with an attached number at the end, indicating that it is from a previous work order.
Primary Duties
Serve as the Warranty Administer for the brands Mason Tractor sells.
Responsible for assisting the Service Manager with quotes for customers and KTAC Insurance as well as helping to manage technicians.
Assist customers who need help in the Service Department, and customers who need assistance over the phone. Oftentimes, customers will be experiencing issues with their equipment and will need to be calmed, and this is the Service Writerâs responsibility to listen and assist any way they can.
Current customer outreach to inform them if their equipment has a new campaign.
Keep accreditation, campaigns, tool lists, and other paperwork that comes through the department.
Ordering shop supplies (such as Oil-Dri, methanol, etc.).
Work with salesmen to prepare sales packets that include the customers manuals, warranty booklets, etc.
