Accounts Receivable Manager

Job Description:

Pat Kelly Equipment is currently looking for a self-motivated, dynamic Accounts Receivable Manager who will thrive in a small business environment. The A/R Manger will work alongside the Office Manager/Controller to manage the daily operations and strategic objectives of the company's accounts receivable cycle through design, implementation, maintenance and management of all accounts receivable business functions and procedures for the Accounts Receivable collection process. The A/R Manager will coordinate with all internal departments to manage proper invoicing within standard polices reflective of the customer's requirements. He or she shall work with any and all personnel to help assure timely and accurate invoicing and rating occurs.
Reports To: President/Owner

Responsibilities:

Oversee customer billing and cash receipts processing
Proper recording and application of cash, management of outstanding invoices and direct interfacing with customers on collection matters.
Provide timely and accurate payment and account standing information
Assure timely collection of monies due to Pat Kelly Equipment
Monitor and report on deviations from credit standards
Assure timely and accurate invoicing
Manage cash application making sure all cash receipts are applied properly
Conduct credit checks on all customers, establish and manage limits
Make recommendations to improve quality of invoicing and collection procedures
Weekly reporting of invoicing totals/aging totals/cash receipts/invoice adjustments
Additional duties as assigned

Experience Required:

Minimum 3- 5 years work experience in credit/collections with responsibility for direct customer contact
In-depth knowledge of bookkeeping and accounting in accordance with government laws and procedures
Extensive knowledge of Generally Accepted Accounting Principles
Managerial skills and experience are preferred
Well-developed analytic and problem solving skills
Highly developed communication and interpersonal skills
Highly organized with ability to manage multiple priorities at a time
Excellent listening, written and verbal communication skills
Successful in dealing with customer and company personnel at all levels
High degree of integrity including ability to successfully deal with sensitive or confidential information
Ability to exhibit poise, composure and confidence when confronting stressful or high-pressure situations
Personally exhibits a strong commitment to dependability and reliability with the ability to gain the confidence and respect of the customer base
Hands on, self starting, disciplined, and detail oriented individual with ability to work independently in a high volume environment that requires a work product that is highly accurate and timely
Demonstrate extensive knowledge and understanding of proper accounting treatment for accounts receivable transactions and activities
Must be experienced in and able to demonstrate proficiency with computerized accounts receivable software applications
High degree of proficiency with Microsoft Office software (Outlook, Excel, MS Word)

Physical Requirements:

Able to bend, squat, lift at least 50lbs, sit, stand, or walk for extended periods of time. Accommodations can be made within reason.

The Service Writer/Advisor assists our Equipment Service and Shop Manager to keep the shop functioning efficiently and safely. The primary job as the Service Writer/Advisor is to oversee the creation, ongoing maintenance and closure of work orders through the dealer management database-in addition to assisting the Service and Shop manger with day to day department projects and tasks.

What You Will Do In This Job

Open and close service work orders
Apply accounting and warranty codes to work orders
Proofread and review technician service notes to ensure customer accuracy
Assist shop manager in service work order maintenance
Assist shop manager in scheduling repairs for customer and company owned rental equipment
Ability to communicate well both verbally and written
Strong computer skills - accurate typing, basic Microsoft Suite Application (Word, Outlook, Excel etc.) knowledge
Strong ability to prioritize workload
Build and nurture existing customer relationships to ensure that our customers are 100% satisfied with the level of service and support they are receiving from Pat Kelly Equipment Co. and are being kept up-to-date about new or additional ways in which Pat Kelly Equipment Co. can help improve their business.
Promptly respond to and resolve customer inquiries, requests, complaints or other communications via phone, email, or in-person.
Assist in coordinating & participating in employee safety training for a continuous development and maintenance of a safe work environment.
Basic knowledge of construction trades and/or equipment industry

Education & Experience Qualifications

High school diploma or vocational training/certification
2-year Associate's, 4-year Bachelor's Degree or
1-3 years of equivalent experience in the construction/agriculture/industrial equipment industry or similar experience is preferred
Equipment knowledge or previous industry experience is a plus

On-site training will be provided.

Physical Requirements:

Able to bend, squat, or climb on equipment frequently, lift at least 50lbs, stand or walk for extended periods on slippery or uneven job sites. Must also be able to sit in an office setting for extended periods of time. May occasionally work outdoors in hot or cold weather conditions. Accommodations can be made within reason.
